A very warm welcome to you all and thank you for taking the time to come to this AGM. Have we got anybody attending one of our AGM’s for the first time? An especially warm welcome to you and a quick run through of how things work:

We have a set agenda and ONLY things on that agenda will be discussed.

If you would have liked to speak about something else, then please pass it to myself or Nicki and we will get it discussed in the next committee meeting.

Having said that, we would really like you to get involved in the things that are on the agenda. This is your opportunity to have a say in how things are done at the club so don’t be scared of getting involved.

None of us want to be here all night so I will be doing what I can to keep the meeting moving and please let’s keep it to only one person talking at a time.
The observant ones amongst you will have noticed that there isn’t a chairman’s report on the agenda. I’m not sure if somebody is trying to tell me something. I will take just a moment to say a few words though. I don’t want to steal anybody else’s thunder so I will keep it short.
When I gave my report last year, I thought we had had a good year. In my opinion, this year has been incredible. Some of the things you have achieved as a team and as individuals have been fantastic.
The way the membership numbers have increased has been incredible and shows we are doing some things right. Our old guards are still competing at the highest level but it’s great to see so many younger members joining us and pushing things forward.
Things are a lot more structured than they used to be and there are so many things going on it’s impossible to keep up with them all. That’s both races and social events!
Our financial position is still good, we look a lot more up to date with our new kits and lots of other PRC branded attire and we are starting to move to more up to date communications.
I want to finish by asking all of you to join me in thanking the committee for doing such a fantastic job. 99% of the time I have been able to let them get on with things which has been very much appreciated. Thank you.

Gareth H: Expressed gratitude to Duncan for his leadership. It was noted that although Duncan accepted the role of Chair reluctantly, he has been the glue holding things together and has done a great job as Chair. .

I think it’s important to note that 4 members decided to upgrade their membership from social to standard during the season, to take advantage of entering Borders or the WA affiliation benefits.

What does the data tell us?

We’re in a high-growth phase, which is mainly driven by ‘word of mouth’ - please keep on spreading the word!

We’re attracting both experienced and new runners and are very well-balanced in terms of gender and age.

We don’t identify as just a ‘road’ club, we have a strong appetite among new members for varied training, whether this be off road or track.

Having 16 members under the age of 22 is a good sign for the long-term future of the club.
Member benefits:

We’ve recently enhanced our membership packages! This season we have formally secured the following discounts with local businesses Nxt Lvl Gym (based on the Prestatyn Business Park), and Zack Spargo (Advanced Physiotherapist). Emails will soon go out to announce these discounts and I’ll also include a reminder of the existing discounts we have available at Saints Gym, plus Sports Massage with Jake.

Based on the size of our membership, we received x1 London Marathon Place this year, which was awarded to Canyon Wilson. The next milestone we’d need to hit to receive x2 places is 190 first-claim (75 members away!)

Renewals: The new season starts on 1st April - Around that time you’ll all receive an email to renew your membership. We use Stripe, so you can enter your card details, the payment goes to WA and they take their affiliation fee, then the remainder comes to our club account. Once we’ve set the subscriptions for the new year, I’ll get an email out to communicate this to everyone.

A reminder that the Welsh Athletics portal exists! Everyone has a login, including social members! This is where you’ll find your Welsh Athletics benefits. Make sure you log in from time to time, as sometimes these benefits are updated. We often have people asking for discount codes - they’re updated for everyone at the same time on the portal. You can also keep your contact information up to date, but if you make any changes to your personal info, please let me know as well so we can keep you up to date.
Plans for the 2026-27 season:

A new membership form will be created before we enter the new season - I plan on highlighting a few important topics, for example our new high vis policy and how we plan to communicate with members in the future, which I will let others talk about in their respective reports.

Captains’ report (Gareth J):

2025/2026 has been a great year for Prestatyn Running Club so far with great turnouts for the Club across road, cross country and fell races.
-
On the road there’s been 4 of the 6 Borders fixtures for this season so far, with 61 members attending at least one race and 11 people attending all 4 fixtures. The Women’s team have been consistent near the top of the results table for each fixture and are currently 1st, the men have been similar coming 1st in the division in the last fixture at Birkenhead and currently 3rd in the table. With a good turnout for the last two races both teams have a strong chance of promotion.

Performance has been similar in the Cross Country leagues this year, with an average attendance of around 30 to each race, including a huge turnout of 39 members at the first fixture in St Asaph which we hosted and was received very well. 52 members helped or ran in at least one race, with 28 running at least 3 of the fixtures. The Women’s team came first in their division and so will be running in division 1 next year, the Men narrowly missed out on promotion by coming third. 8 of PRCs runners won medals across the league age categories. Prestatyn Masters Men also came second in the North Wales Cross Country championship in January.

For the hillier races on the fells turnout has been good too, with an increasing number of runners taking part. The biggest turnout was the Horse in January, with around thirty PRC members taking part. Dash in the Dark remained popular, and the North Wales series has just started so it isn't too late for people to get involved. The Tuesday Night Series starts in April and is probably the best value race series in North Wales.

Run Leaders’ / Club Night report (Ben):

We’re Growing, We’re Getting Safer, and We’re Just Getting Started!
-
The Headlines: A Record-Breaking Year: It has been a whirlwind 12 months for Prestatyn Running Club. If you’ve noticed more people in the car park on a Monday, you’re right—we have officially increased by attendance by 50% when comparing Jan 25 to Jan 26
-
Peak Night: 53 runners joined us for one session in December.
-
Average Growth: We’ve gone from roughly 23 runners a night to 30+ April to Feb.
-
More Choice: Because of this growth, we now offer 5 groups on a Monday to make sure everyone finds their perfect pace.

Our Amazing Volunteers
-
None of this happens without our Run Leaders. They aren’t just "leading a run"; they are sacrificing their own training to keep us safe.
-
Doubling the Team: We’ve grown from 10 to 20 qualified leaders this year!
-
Grant Success: We’ve successfully used BeActive Wales grants to fund 8 of these new qualifications.
-
The Run Library: We now have over 60 mapped routes with GPX files and safety info (including where the nearest defibs are) to make life easier for our volunteers.

Keeping You Safe
-
We’ve worked hard to meet British Athletics safety standards.
-
Safety First: 96% of our runs now hit the "2 leader per 10 runners" gold standard—up from just 42% last year.
-
High-Vis Policy: Safety is our priority. Next winter, we’re moving to a "No High-Vis, No Run" rule. We’re giving everyone plenty of notice to get set up, an easy example being a cheap reflective harness (£6–£8) so we stay visible and safe.

What’s Coming Next?

We aren't stopping here. We’ve just secured more funding for the 26/27 season:

Structured Coaching: We are training 3 new Coaches to lead better warm-ups and structured "effort" sessions.

Trail & Fell Running: We are training 5 new Trail Leaders (with advanced first aid) to get us off-road more often and more safely.

2. Respect the Yellow Vests: Our leaders are volunteers. If they ask you to slow down or wear high-vis, they’re doing it for the club’s safety.

Welfare Officer's report (Debbie):

As the club has grown rapidly over the last year and, with the addition of more run leaders, I have purchased more first aid kits for the club, so that we currently have 12 kits. This ensures that there are sufficient kits for all the different paced groups to have 2 kits each (if there are enough run leaders). I have been checking them every 3 months & topping up the contents as & when necessary.

The club’s risk assessments are now on the website, to make them easy to access for anyone wanting to organise a new route for a club run or social run.

We continue to use SPOND to hold people’s next of kin & medical information, in case of an emergency. With the roll-out of the WhatsApp groups, it may be easier for whoever takes over the Welfare role, to engage with those members not on Facebook, and get more people’s info recorded on SPOND. One of our members recently twisted their ankle while on a club run & could not remember her husband’s phone number, to phone him to come & pick her up. Instead, I had to walk her slowly home. If she had been on SPOND, I would have had access to her emergency contact details & it would have been easy to contact him. No one knows when an accident is going to occur & it is easy to think that it will never happen to you, but when it does, you may be grateful that you spent 2 minutes downloading the app & filling in your details. Only the run leaders can access this information.

With the growing numbers of runners on each club night over the winter, I have found it increasingly stressful to try & get people to wear clothing that is visible enough to traffic and to other members of the public. There seems to be a belief from some club members, that it is more important that your top matches your trainers, than it is to be safe. When myself & Ben called it out at the start of every club run, we could see people rolling their eyes & I just felt that I was being seen to be nagging, when all I was trying to do was my role within the club. I know that Ben and the committee are working on a new strategy for next winter, but this year’s experience has worn me down & this is why I am standing down as Welfare Officer and from the committee. I just want to get back to enjoying running without the stress of having to worry about other people’s safety.

Gareth W expressed his thanks to Debbie and the other Welfare Officers for their dedication. He specifically thanked Ben for his work in bridging the communication gap between the welfare team and the run leaders. It was acknowledged that the Welfare Officer role can often feel like the "fun police" due to the enforcement of regulations. A recent example was when Nicki asked a question about a potential new member, and the day was spent sharing bad news. Gareth emphasized that welfare protocols are not enforced for the sake of bureaucracy, but are essential to the club's existence. He noted that welfare standards are a mandatory requirement for affiliation with Welsh Athletics (WA). A specific plea was made regarding safety gear: when Debbie advises on the use of hi-vis clothing, it must not be dismissed. Failure to follow safety protocols puts the entire club at risk of closure if an incident occurs.

Meg: At the top, you can see responses from the research carried out last year. One of the questions was ‘what does PRC mean to you?’ We also have the core values of how members described the club.

You can also find the things we offer as a club, how we’re developing for the future, the way we’re promoting. There are l leaflets in restaurants, social media is gaining us members, Nicki recently started the Strava groups, plus we are all moving to Whatsapp soon so everything will be in one place.

Prestatyn hosted a successful Border league relay with 35 teams, followed by the presentation and buffet at the Ffrith Astrobowl afterwards.

Bowling Night at the Ffrith - Ben and Nicki top scorers, Karl, Liz, Liam, Mark, Marc and Neil winning the team prize. We hope to do that again in the next couple of weeks.

Prestatyn did a takeover of the Nova Parkrun, where we recruited some new members.

Aberdaron club weekend - another fabulous weekend, 2 runs and walking group along the beautiful coastal paths, including delicious bacon rolls supplied by Mike & Brenda, washed down with homemade elderflower cordial by Anwen - yummy!! Followed by the evening meal at the Ty Newydd. We’ll be heading to Anglesey this year, so look out for the invite in the coming weeks.

Race for Life 5 & 10K - Lots of members were runners, marshals, pacers and other roles to help out on the day. Afterwards we met at the Sun Verge for food and drinks.

Duncan: Added that the beauty of the socials is that people of different running standards have the ability to mix, which is great for the club. Thank you to Clare for organising our social events.

Future communication with members (Ben):

Ed came up with the idea for a Whatsapp Community last year - he’s crossed paths with a number of Run Clubs and he suggested we centralise our club communications. What we currently have has worked but it’s been labour intensive - Meg has been running Instagram, Debbie running Facebook, we have a chat group and two versions of the Facebook page. The plan is for all communications and chat to move into the Whatsapp community. There will be a number of channels to add yourself to, for example General discussion, one for Borders, one for Cross Country etc. - the joy is you won’t feel bombarded by anything. Gareth J has sent an email with a Google form to be completed - one filled in, Gareth J will get you added to the community and you can choose the groups you would like to join. We haven’t set a deadline yet but likely we will in the next meeting. We’re currently in that halfway house, we still have the old groups going, but we will soon close them down.We will continue to send the odd email to make sure those who don't wish to join are still kept up to date, but they will be less frequent. Everyone has a mobile, so very few people we should miss out on.

Gareth H: Complemented those responsible for communicating in different ways. He is in touch more than most with some members who, because they live further away, don’t come to club nights. He has been told time and time again how good the communications are now, better than they’ve ever been. There’s no reason why any member should not be aware of what’s going on and it really is appreciated. On the flip side and wearing his hat as Press Officer, Gareth H shared that some members get upset if their achievements are not mentioned in the weekly Press Report. If he’s not told about it, he can’t include it. Gareth H expressed gratitude to members who do tell him directly about their events or achievements. Not only that, it’s nice to receive any context about the event (prcraceresults@gmail.com), for example if it’s their first attempt at a distance or if it was a PB. A Parkrun report is available every Sunday morning so there’s no requirement to share results in advance, unless there is additional context to share.

Discussion:

Secretary: Nicki explained that the Secretary duties can be rotated in the interim but there needs to be a legal name listed for us to operate as a club. There are also certain mandatory roles that need to exist, for us to meet the WA standards to operate as a club, for example Welfare Officers. Duncan asked that if anyone knows of someone who may be interested in preparing our agendas and taking our minutes, please let Mark know. They don’t need to be the same level of detail that we’ve previously had.

Welfare Officers: There was discussion around whether Welfare Officers need to be a member of the club. Gareth H shared that Wrexham had a Police Officer outside of the club, who can give independent support. Debbie suggested it’s better to have someone in the club so there is a known point of contact. Judah confirmed he had spoken with Leah during the meeting who is happy to take on the female Welfare Officer role.

Club Night Coordinators: Ben confirmed that the role would benefit from 3 or 4 people taking on the role and splitting the duties. He confirmed that the position doesn’t need to be filled by existing Run Leaders and explained that the role should be very different to take on this year, since established processes are set up and implemented. Ben explained the duties of the role and that our club nights should be the heartbeat of our club. Fresh ideas from new people taking on these duties are welcomed. Gareth W asked those in attendance to consider taking on these duties. Meg expressed an interest in taking on the role as part of a reliable team. Patrick and Paul expressed interest in supporting these duties if work can be done in the background as Paul cannot guarantee his attendance at club nights each week.

Social Media Content Coordinators: Debbie shared that she has been liaising with Nem, who is happy to take this on. Dean shared there is an option for content to be shared on both Facebook and Instagram at the same time to avoid the need for making duplicate posts.

Club Kit Coordinators: Dean asked if it’s possible to place orders individually via a website. Mark shared that this option has previously been looked into, but individual items would be more expensive than us placing bulk orders.

Captains: Nicki shared that x4 male members had put their names forward for male Captain: Gareth Jones (off-road), Oliver Birch-Jones (road), Nem James (no preference shared) and Jonah Armstrong (no preference shared). Jonah added that if others wanted to step up this season, he was supportive of them taking over. Mark will have a discussion with the x4 to form the team of male Captains. Gareth H shared that originally we had one Men and one Ladies captain, then we had two of each. There was discussion around the benefits of having a Captain for each discipline - Road, Cross-country and fell.

Proposal for 2026/2027:

Increase our Standard Membership to £45.00 per year (£25 will go to Welsh Athletics; £20 stays with the club). This represents a £3 increase - with £2 aligning with the WA increase and the £1 club increase provides a buffer for any other rising costs that we need to pay for throughout the year. This keeps us aligned with local running clubs and is significantly cheaper than "premium" track clubs or commercial gyms in the area.

Retain the current price of our Social Membership - £20. The club portion remains the same as Standard memberships.

Increase Second Claim to £20 - second claim members have access to the same benefits as social members, representing an even cost. The club retains the same amount per member as other categories.

Concession rate - Increase our Full Time Student rate to £35 - this mirrors the rise in our standard membership, with £2 extra given to WA and £1 per member as a buffer for rising costs in other areas
